Mail Merge¶
Location: ribbon EGTools tab → Forms group → Labels split-button menu → Mail Merge
Clones the whole form sheet once per data-list row, substituting {{fieldname}}
placeholders with that row's values, then — depending on the chosen option — saves
individual files (xlsx/PDF), prints each copy and/or sends email (with the
row's file attached). The SMTP server used for sending is registered in
SMTP Settings (the password is never stored).
How it runs¶
- Enter the option — a number 0–7 (default 1). It is a bit combination of
1 (save files), 2 (print) and 4 (send mail).
0= clone form sheets only (the clones are kept) /1= save files /2= print /3= save + print /4= send mail /5= save + send /6= print + send /7= save + print + send. - Printer setup — if printing is included (2, 3, 6 or 7), the printer setup dialog is shown first. Cancelling it aborts the whole run.
- Designate the form sheet — pick any cell of the form sheet in the range input box. The entire sheet containing the picked range is used as the form.
- Designate the data range — pick a cell in the data list. The selection is expanded to its contiguous region (CurrentRegion); the first row holds the field names and data starts on the second row.
- Mail preparation (options including sending, 4–7) — the recipient column and the email template sheet are checked, then if SMTP Settings are empty the settings dialog opens automatically. Finally you are asked for the SMTP account password (never stored; cancelling aborts the run).
- For each data row the form sheet is cloned at the end of the workbook, every
{{fieldname}}is substituted, and printing/saving/sending runs per the option. "Items completed: N" is shown at the end — plus "Emails sent: N" if sending was selected.
Rules¶

Sending email (options 4, 5, 6, 7)¶
When sending is included, these additional rules apply.

Notes¶
- Substituted cells are written as text values (not formulas).
- Saving copies the cloned sheet into a new single-sheet workbook, saves it and closes it, so each output file contains just that one sheet.
- The sending engine supports implicit SSL only (usually port 465); 587 STARTTLS is not supported. See SMTP Settings for details on this limitation.
- Difference from Make Labels: labels tile the form repeatedly on one sheet, while mail merge builds an individual sheet/file per row.
